General terms and conditions for renting cottage/apartment and room at Orsa Grönklitt.

Who's responsible?

The responsible agent/operator is Grönklittsgruppen AB, Box 133, SE-794 22 Orsa, Sweden.


As operator we are obliged to ensure that:

• You receive written confirmation of your booking

• You receive documentation and information about the method of payment, information on where the key can be retrieved in plenty of time and other important information about your booking

• The rented object matches the description. We are not responsible for promises that third parties may have made directly to you without our knowledge and which we were not aware of or should have been aware of, and that you are informed of any important changes concerning your booking

• You have access to the rented object from 15.00 on the agreed date of arrival until 11.00 on the date of departure, unless otherwise agreed.

• If you are not satisfied with your cabin/apartment, please contact us directly. See below.

When does my booking count as confirmed?

Once you have paid your deposit (or the full rental amount), this confirms your booking as binding.

When do I need to pay?

If you book more than 60 days in advance, a deposit of 25 % of the accommodation cost is due (minimum SEK 500), plus any cancellation insurance and booking fee. The deposit must be paid within 10 days of your confirmation being sent to you. The remainder of the rent must be paid no later than 60 days prior to your agreed date of arrival.


If you book between 60 and 30 days in advance, the full rental amount must be paid within 10 days of making the booking.


If you book less than 30 days prior to your date of arrival, the full rental amount must be received within 2 business days of the date of booking.


The rent must always be fully paid before you are given access to your accommodation.

What happens if I do not pay on time?

The booking will be cancelled if the deposit or final payment is not received by us the latest by the due date in the confirmation. If you do not pay on time, this will be regarded as a cancellation and the rules regarding cancellation will apply. Please note that no acknowledgement of the cancellation will be sent.

But what if something happens to me?

To protect yourself in the event of anything unplanned occurring, you can purchase our cancellation insurance. The cost is SEK 395 per rented object and allows you to cancel up to your agreed date of arrival. The fee for the insurance is non-refundable in the event of cancellation.
The cancellation insurance covers the following circumstances, provided you were not aware of these at the time of booking:


• Death, illness, or serious accident affecting you, your spouse or partner, your family or travelling companions.
• Being drafted into the armed forces or civil defense service.
• The occurrence of some other serious event outside your control that you could not have foreseen at the time of booking and that makes it unreasonable to expect you to keep to your booking, i.e. extensive fire, flooding of your home, divorce or termination from your job (not redundancy).


You must be able to provide proof of any such circumstance in the form of a certificate from a doctor, from the authorities or from your insurance company. Such proof must be received by us within 10 days of the cancellation date.

What if I want to cancel?

You can cancel verbally or by writing to us.

 

The following rules apply in the event of cancellation WITH our cancellation insurance:
• For accommodation cancelled 30 days or more before arrival, we will keep the cancellation insurance fee and an administration fee of SEK 250. The booking fee will not be refunded.
• For accommodation cancelled 29-0 days before arrival where there is a valid reason for cancellation that you can show proof of with a certificate from a doctor, authorities or insurance company, we will keep the cancellation insurance fee and an administration fee of SEK 250.The booking fee will not be refunded.
• Cancellations on the same day as arrival needs to be done before 12.00 (noon).
• For accommodation cancelled 29-0 days before arrival without a valid reason for cancellation, we will keep 100 % of the cost.
• No refund will be given if you decide to cut your stay short.

 

The following rules apply in the event of cancellation WITHOUT our cancellation insurance:

• For accommodation cancelled 60 days or more before arrival, we will keep the deposit. The booking fee will not be refunded.
• For accommodation cancelled 59-0 days before arrival, we will keep 100 % of the cost.
• No refund will be given if you decide to cut your stay short.

 

Temporary booking conditions for bookings made April 29–October 18

Free cancellation no later than the day before arrival, valid with cancellation insurance, between April 29-October 18 and for arrivals between April 29-October 18. You do not need to submit a certificate to prove your cancellation and the full amount (including cancellation insurance) will be refunded to you.

 

Temporary booking conditions for bookings made May 14–August 31

Free cancellation valid with cancellation insurance, between May 14–August 31 and for arrivals between October 18–April 11. You can cancel up to and including 30 days before arrival and you do not need to submit a certificate to prove your cancellation. The full amount (including cancellation insurance) will be refunded to you.

What are my rights?

If we do not provide the accommodation in the promised condition or at the right time and are not able to offer another equivalent cabin/room, you are entitled to terminate the agreement. We must then refund your money, minus a deduction for any use of the cabin/room. Instead of terminating the agreement, you can request a reduction in rent.


If you have any complaints, you should inform us as soon as possible, and no later than 11.00 on the day after arrival. Any problems that arise during your stay should be reported immediately, so that we have a chance to rectify them.


You are entitled to let another party use the accommodation in your place and we must accept them unless we have any specific reasons for refusal. You must inform us of this prior to the date of arrival, and a rebooking fee of SEK 250 will be charged

What are my obligations?

To book/enter an accommodation agreement with us, guests must be 18 years of age.
Everyone in your party must be at least 18 years old to stay in the accommodation. This age limit does NOT apply to children accompanied by an adult.


You must treat the cabin/room with due care and follow the applicable rules and regulations. All guests are expected to show consideration for fellow guests and keep noise to a minimum between 23.00 and 07.00. You are responsible for any damage to the property and its contents owing to carelessness by any member of your party. You are obliged to follow the rules concerning smoking and the ban on pets for your cabin/room as stated in your confirmation. Violations of the rules on smoking and ban on pets will lead to a cleaning cost of at least SEK 3,000.


You may not use the cabin/room for any purpose other than that agreed at the time of booking (usually recreation) and you may not have more people staying in the cabin/room than stated in your booking details. You must clean your accommodation thoroughly. Please follow the cleaning instructions If you fail to do so, we will carry out cleaning at your expense. A final cleaning service is available to book.


You must return all keys for your cabin/room on departure. If keys are not returned, we will be obliged to change the lock at your expense.


The agreement ceases to apply with immediate effect if:
• You or anyone in your party creates a disturbance on the site.
• You or anyone in your party causes damage to the rented object/on the site.
• Your accommodation is not used for its intended purpose.
If the agreement is terminated for any of the above reasons, you and your party must leave the site immediately and you are not entitled to any refund.

What happens if we do not agree?

Please contact us directly with any complaints. Keep in mind that your opportunities for obtaining redress may diminish if you delay a complaint. If you have a claim for compensation, this must be submitted in writing. If we do not agree, you can contact the National Board for Consumer Disputes (Allmänna Reklamationsnämnden).

War, natural disasters, strikes, etc.

The parties are entitled to withdraw from the agreement if the accommodation cannot be provided due to military operations, natural disasters, industrial dispute, prolonged interruption to water or energy supply, fire or other similar major event that neither you nor we could foresee or influence. In any such case, we are obliged to refund your money as soon as possible, minus a deduction for any use of the cabin/room.

Snow guarantee

Provided you have purchased our cancellation insurance, you can cancel your accommodation due to a lack of snow from 3 days before arrival until the day before arrival. This means you will only have to pay an administration fee of SEK 250 unless at least three skiable slopes and 2 km of cross-country trail are open. The snow guarantee is valid from Christmas week until the end of the season; from the start of the cross-country season to the start of the alpine season, at least 2 km of cross-country trail must be open.

GDPR

The General Data Protection Regulation, or GDPR is applicable as of May 25th, 2018 in all EU member states to harmonize data privacy laws across Europe. This regulation protects fundamental rights and freedoms of natural persons and their right to the protection of personal data. We only collect necessary data and personal information to be able to comply with the agreement you have made with us, regarding for example your accommodation, event, or other services. We never sell your personal information to a third-party.

Other

If necessary due to events outside our control as agent, we are entitled to transfer guests to an equivalent cabin/room. Where possible, the agent must inform the guest/customer of any such transfer prior to arrival and in any case as soon as possible. Such changes do not imply any right for the guest to wholly or partially fail to pay agreed charges.


The accommodation price does not include cleaning, bed linen, towels, crib, or highchair unless otherwise indicated in the confirmation. Toilet paper, kitchen towel, cleaning products and dishwashing detergent are not provided in the cabin/room. Please bring these items with you.
